Option 1: Using the customer flag feature
This is probably the simplest option and your student's status can be easily seen on the class registration and attendance screen. In this example, you'll create a flag for each customer who is vaccinated in their customer account.
You'll then be able to filter your customer list based on whether a student is flagged (vaccinated) or not:
Here's some additional information about flagging customers:

Option 2: Adding an asterisk or emoji to your student's last name
It's quick and easy to edit your student's profile to add an asterisk or emoji after their last name to show their vaccination status. We don't use the last name in the confirmation emails to your students so this is a fairly "behind the scenes" option but they'll still see it when they login to their customer accounts etc (so we recommend letting all of your students know why you've added this info).
To add an emoji or asterisk just go to their customer account, click Info and then Edit Info, then add the notation to their last name and Save:
You'll then see the emoji or asterisk on the class reservation and attendance screen (in this example Hugh has provided proof of vaccination but Petey hasn't):
You'll still be able to filter your customer list, just enter the emoji or asterisk in the search field and your vaccinated customers will be highlighted:
Option 3: Add their vaccination card image as an external document
This feature can be used in addition to either of the options above or on its own.
Each customer account has a place to link to an external webpage:
In this case Dropbox or Google Docs would be a great option to store your students' vaccination card images and then you can link to each one in their customer account.
You can read more about this process here:
Option 4: Add the date that their vaccination is active or expires
In some areas, studios need to only record the date of vaccination or the date that the vaccination coverage expires.
There are two main places you could record that information:
Using the Birthdays feature. This will mean that you can click on the dedicated Customer Birthdays report to track vaccination dates or vaccinations that are expiring soon. Click here to read more about using Birthdays .
Using the City field as a Wildcard. We've found that many customer accounts don't use the "City" text field for customer information. You're welcome to enter information into this field and it will display on the Active Customer list and also on exports.
Here's how to access it:
Option 5: Customer Tags
If you're a Punchpass customer on our Redwood plan, you have the ability to add a tag to a customer account. Here's some more information about how to use customer tags.
Additional notes:
There is also a range of different places to let students know about your vaccination policy and potentially have customers agree to your current COVID-19 terms and conditions before making their next reservation.
You can include your policy (or links to your policy) at the top of your public schedule, in your reservation confirmation emails and/or in your class descriptions.
You may also like to include current advice in your online waiver and/or have students agree to your T&Cs each time they make a reservation using our Booking Agreement feature.
We hope these existing features will help you navigate the ever-changing COVID-19 landscape and look forward to bringing you even more robust and integrated options very soon!
