How to Add a Customer to a Series of Classes

Creating a reservation for someone in a Series of classes

Most of the time, your customers will register themselves for a Series, but sometimes you need to step in. Maybe they're standing right in front of you, it's a last-minute signup, or the Series is full and they need a waitlist spot. Whatever the situation, here's how to handle it.

Registering a Customer for Your Series

Start by opening any class in the Series. You can do this two ways:

  • From your Schedule, click on any class that's part of the Series.

  • Or go to Manage → Classes, find your Series under Active Series, and click the Series name to open the Series Overview page. From there, select any future class to open its Class Details page.

Once you're on the Class Details page, click Add A New Reservation. You'll then choose:

  • Create reservations for the whole series, registers the customer for every class at once. This option will only be available for future classes where attendance hasn't been marked.

  • Create a reservation for this individual class only, just the one session.

After saving, you'll see a confirmation message and the customer will appear in the Waiting to Attend section. You'll also notice a flag next to their name. Series means they're booked for the full series, Class means just the one.

Adding a Customer to the Waitlist - Series Reservations Only

If the Series is fully booked and you have the Waitlist feature turned on when setting up the class, you'll automatically see a waitlist option when adding a new reservation.

When using the Series feature, you only have the option to add customers to the waitlist for the series, not the individual classes.

To add a student to the waitlist, click the Add A New Reservation button. When the Series is full, you'll see the option to add the customer to the waitlist for the entire Series. Note that waitlist spots are for the whole Series only, not for individual classes within it.

Troubleshooting Tips

The "This will overbook the series" Warning

If you see this warning when registering someone for the whole series, it means at least one class in the Series has already reached capacity.

This usually happens when reservations have been deleted from individual classes rather than from the Series as a whole. To avoid this, always remove a customer's reservations either from their customer account or from the Series Overview page (Manage > Classes > select the Series).
