Managing Reservation Requirements
To prevent clients from booking more classes than their purchased credits allow, you can adjust settings in both the online reservation system and class settings. Below are two key settings that you can apply to help prevent overbooking!
1. Online Reservation Settings
Limit reservations to visits purchased: Turn on this requirement to ensure clients can only book the number of classes that match their purchased credits.
Visit Manage > Settings > Online Reservations to make this change.
2. Class Settings
Require an active pass to book: Enabling this setting ensures that clients must have an active pass with available credits to make a reservation.
This setting must be applied to each class in its settings. Visit Manage > Classes and select the active class to make this change.
By enabling these limitations, clients will be restricted from making additional reservations once their purchased credits are allocated to future bookings.
Considerations for Clients with Future Standing Reservations
If a client has standing reservations booked far in advance, the system will count those future bookings against their available credits. This means they may not be able to book additional classes unless:
The customer purchases an additional pass. With the above reservation settings in place, customers in need of credits to make a will be prompted to purchase an eligible offer for the class when trying to make a reservation.
Recommend a membership for the customer. Consider creating a membership plan that better accommodates clients with standing reservations. Memberships take future reservations into account, ensuring credits are allocated appropriately over time.
For example, if a client has an 8-class membership and a standing reservation for one weekly class (e.g., every Monday at 12:00 pm), four credits will be reserved for those classes, leaving them with four additional credits to use on other bookings.

This is a useful workaround if a client regularly exceeds their allotted credits and would prefer to be invoiced for additional credits as they're needed. You'll know they're needed if a customer appears with the "Needs Pass" flag on a class page and when marking attendance.

Q: I have a client with a few standing reservations and an in-person 20-class pass. My settings restrict bookings to the number of available credits, but the client is still able to book more than 20 classes. Is there something I missed?
A: If the client has a standing reservation, they will be booked into those classes regardless of their pass status since an admin initiated the reservation.
Something we noticed in this example was that the customer had an unlimited membership that's only eligible for certain classes (e.g., for online classes). This allowed the customer to continue to book eligible classes as allowed by the membership.
However, for the 20-class pass, if their total in-person reservations exceed the 20-reservation limit, they won’t be able to book more in-person classes without purchasing an eligible offer.
Q: A client with a standing reservation and an 8-class membership is unable to book additional classes. How does this work?
A: When a client has a standing reservation and a membership with limited credits, the system holds their available credits for those future reservations. For example, if they have an 8-class membership and a standing reservation for one weekly class, four credits will be reserved for those classes, leaving only four remaining for additional bookings. You may want to consider creating different membership options to better accommodate clients with standing reservations and the number of credits they need!
Q: Some customers have both a pass and a membership. When they have a standing reservation, they can’t book additional classes. How can we allow them to book more?
A: Since you have the reservation limit enabled, and limit the number of reservations to a pass, all purchased credits are allocated to future standing reservations.
You could consider turning off the online reservation setting to limit the number of reservations to visit purchased. With this setting off, clients will be able to book additional individual reservations alongside their standing reservations.
However, this change will apply to all students, allowing everyone to book beyond their available credits.
If you want to keep the restriction, the only workaround is granting Trusted Access to those specific clients.
