Introduction to Punchpass Email Features
Punchpass offers multiple ways to communicate with your customers via email. The platform includes:
Bulk emails - Send messages to multiple customers at once using customer lists and reports
Automated email notifications - Set up system-triggered emails for bookings, purchases, and other events. Learn more about Email Notifications in Punchpass
Class-specific communications - Email everyone registered for or attending specific classes
Direct customer messaging - Send personalized emails to individual customers
This guide focuses primarily on how administrators and staff can manually send emails to customers, including how to email participants in specific classes.
Who can use this feature?
Sending emails through Punchpass is available to Administrator-level and Restricted-level users on all Punchpass plans. Learn more about adding staff to your Punchpass account here
Email Options in Punchpass
You can send emails to your customers in several ways:
1. Emailing Customers from a Class Page
This is useful when you need to quickly reach all people who have reserved spots in a class (for example, if you need to cancel it).
To email everyone in a specific class:
Navigate to the class detail page
Click the blue "Email Everyone" button
Fill out the subject line and message
Click Send
You can also email everyone after a class is over! Each student gets an individual copy of the email as though you sent it just to them, and they cannot see other recipients' email addresses.
2. Emailing Attendees of Past Classes
To email everyone who attended a specific class:
Navigate to Reports > Attendances by Class/Date report
Choose your classes and select a date range
Press the "Run Report" button
Select the customers you'd like to email (individual customers or all customers)
Press the "Email Customers" button (becomes active when someone is selected)
Write your message and press Send

Select a report
Use the checkboxes to select specific customers
Press "Email Selected Customers"

How Punchpass Email Works
When sending group emails through Punchpass:
Each customer receives an individual email
Customer email addresses remain private
Punchpass sends a summary email to your company email address showing the message and listing all recipients
Tracking Emails Sent to Your Customers
You can track emails sent to your customers using the Client Messages Report (Reports > Client Messages) in Punchpass. This report provides:
Details about each message sent manually
The text of emails you've crafted
Basic statistics to ensure emails were delivered and opened
The ability to review and copy previous messages
