Are you tired of typing out the same emails to new customers over and over again? We've got you covered with our new email templates feature.
Email templates allow you to create a pre-defined email layout that may include content, like images or text.
Rather than create a new email from scratch, you can use a template as a base. Templates are also handy for making sure email designs follow brand guidelines.
In this video, we'll walk you through how to create a template and send it to a customer.
Getting Started with Email Templates
To get started, head to the Email Templates section in your account settings.
This takes you to the Email Templates overview page. You'll see a list of your email templates here. If it's your first time creating a template, this list will be empty!
Creating an Email Template
Click the "+ New email template" button and give your template a name and subject.
The template name is a label you'll create for you and your team to identify the template, so you'll want to give it something clear, for example, Birthday Special 2023.
The subject is the subject line that your customers will see when the email lands in their inbox.
Then, use the customizable variables to personalize the email with the customer's information, such as their name and birthday.
Customizable variables correspond to the customer account and attendance information you see listed for each person in the Customers section of your account.
Once you've created your template, make sure to press the "Save Template" button.
You'll now see the new template listed in the Email Templates section of your account settings.
Preview & Test the Email Template
Once you've created a template, we highly recommend testing it by sending a message!
From the list of Email Templates, select the message you'd like to test, review the content, and press the "Preview & Test" button.
This opens the preview email pop-up window. Test emails are will be sent to your email address and are NOT sent to the customer.
Punchpass allows you to select a customer to pre-populate the customer variables and see how that information looks in a message.
Want to make additional changes before sending? Press the "Cancel" button and you can edit the email template.
Ready to send a test email to yourself? Press the "Send Test Email" button.
After the message is sent, you'll see a confirmation message.
Please check your inbox to see your message!
Using Email Templates and Sending Messages
You can easily select an email template to send to a customer by selecting it in the "Email Customer" section of their account. You can even customize the message further for a particular person before sending it.
Editing an Existing Email Template
Email Templates can be easily updated by navigating to the Email Templates section of your account settings and pressing the "Edit" button next to any existing template.
When making updates, don't forget to save your changes!
