Collect Payment at Booking: A Guide to Using Tickets

Use Tickets to collect upfront payment for an event, workshop, appointment or class

Written by Chris

Workshops and other individual special events are easy to set up in Punchpass! You'll use our ticketing feature to set up a class and collect payment ahead of time so you don’t need to worry about it on the day of the event.

Tickets can be set at a fixed price, or you can offer a sliding scale (donation-based) price so customers can choose what they pay within a range you set — great for community classes, sliding-scale pricing models, or workshops where you want to keep things accessible.

Here is a quick demo on using tickets when setting up workshops:

Tickets allow you to collect payment right at the time of booking!

After setting up a class, return to the overview page, and you'll turn on tickets and set the price per ticket.

You must be integrated with Stripe and accept online reservations to use this feature.

How to Set Up a Ticketed Class

After setting up your class, you'll return to the overview page (Manage > Classes, select the class) and click Enable Tickets for this Class:

You'll then be prompted for pricing. Here you can choose between a fixed price or a donation-based (sliding scale) price:

  • Fixed price: Enter a single ticket cost. Every customer pays the same amount.

  • Donation-based (sliding scale) price: Toggle on "Is this a donation-based ticket?" and enter a minimum price and maximum price. Customers will be able to choose any amount within that range when they book — whole numbers only, and $0 is allowed as a minimum if you'd like to make the class fully pay-what-you-can.

Press Save.

Setting Up a Sliding Scale (Donation-Based) Ticket

If you'd like to give customers flexibility in what they pay, rather than charging everyone the same fixed amount, you can enable a sliding scale ticket.

From the class overview, click the button to Enable Tickets. On the Enable Tickets screen, toggle on "Is this a donation-based ticket?" then enter a minimum price and a maximum price (whole numbers only; $0 is okay as a minimum). Press Save, and you're set.

Once enabled, customers booking the class will see a price field where they can choose any amount within your min/max range, rather than a single fixed price. This is a great option for:

  • Sliding-scale or pay-what-you-can classes

  • Community events or donation-based workshops

  • Encouraging generosity from customers who are able to pay more, while keeping the class accessible to those who can't

Note: The minimum and maximum you set apply to that class going forward. If you want to change the range later, just return to the Enable Tickets screen and update the values.

Customer Booking Experience

The booking form for the class will look like this for your customers, and they'll be prompted for their credit card details to sign up. If the class uses a sliding scale ticket, they'll also see an editable price field where they can select their preferred amount within your set range before checking out.

These reservations are then marked as paid; no separate pass purchase is required.

Setting up Passes and Tickets for the Same Class

Note: If you accept passes for a class that's set up to use tickets, customers with a valid pass can log in and register for the class without paying. You'll want to keep in mind that customers will have to log into their account order for Punchpass to recognize that they have a valid pass. If they don't log in, they'll be prompted to pay just like anyone else.

AFTER you enable tickets, you'll need to edit the Eligible Passes to allow access by more passes other than the ticket payment.

Invoicing a Customer for a Ticket

Have a customer who wants to book in advance, but pay separately? No problem! You can create a reservation for them within Punchpass and then take payment later (via credit card or any other method).

Once the customer has been added to the class, assign them a ticket by clicking the three-dot icon next to their name.

This takes you to the pass details page, where you can then take payment in person or send them a paylink to invoice them.

Additional Tips for Tickets

Can I Make a Ticketed Class Free?

Yes, you can schedule an individual class for a course that typically requires paid tickets and mark the class as free without disabling tickets for the other scheduled classes.

Cancellations & Refunds

Customers who have purchased tickets cannot cancel or move the reservation on their own. They must contact you directly for changes or refunds.

Pricing Tips

Want to encourage early-bird signups with a discount? When you enable ticketing, set the price as the discounted price, or lower your sliding scale minimum. When the regular price is due to kick in, just disable prepay and re-enable ticketing with the new price.

If you allow drop-ins, you might also consider offering a discount for ticketed reservations, since paying in advance gives you a $2 discount, for example. You can then sell a regular single-class pass to drop-ins without the discount by marking them as attending and clicking "needs pass" to sell them a drop-in pass.

Not sure whether to use a fixed price or a sliding scale? A fixed price is simpler to manage and predict revenue from, while a sliding scale works well when accessibility matters more than a set price point, or when you want to let customers pay what feels right to them.
