How do I handle drop-ins?

What to do when someone arrives without a reservation

The best way to handle drop-ins is to make sure the customer is in the system, mark them as attending, and assign them a pass if necessary.

Create a New Customer

If the customer isn't in the system yet, from the class details page, click Mark Attendance, and then click + New Customer.

Add the customer's name and any details you wish to include, then click Save. They will be added to Punchpass and this will also create a reservation for them.

Creating a Customer for Attendance-Only Users

Attendance-only users have a limited view of the schedule. They can add reservations before or after class by clicking on the Mark Attendance button and searching for customers.

This role can create reservations for existing customers, but can't add new accounts.

Please guide these instructors to have new customers create an account by visiting the schedule or having them show customers the Studio QR code (located on the Home page of Punchpass) to create an account.


Mark Attendance

If the customer is already in Punchpass, click Mark Attendance, then use the search bar to begin typing their name. Click their name when the customer list filters to them and they will be added to the class. Here is our detailed marking attendance how-to for more info!

For existing customers, if they don't have a reservation, they can use the search box to find their account and register themselves for class.

Manage the No Pass! Attendance for Your Drop-Ins

Punchpass allows you to assign a pass to a customer after marking attendance.
Here's our guide to assigning a pass.

When marking attendance any customers who were identified as needing a pass, will now appear as No Pass! Assign one to admin and restricted-level users.

Note: If you're an attendance-only user, this will appear as No Pass! And as this account type is unable to assign passes, there aren't any further actions you can take here.

You can also handle this at a later time as an Admin user by navigating to the Reports section and reviewing the Attendances with No Passes Report. When reviewing attendance there is an option to forgive a past unpaid attendance if you decide to do that later.

Need to create a drop-in pass?

A Drop-in pass is really a one-visit punchcard. After you set it up, it'll be ready for you to sell when you're taking attendance.

To create a drop-in pass, visit Manage > Passes, create a pass called Drop-In, and make it a Punch Card with 1 visit.

Optional: Give the drop-in pass an expiration date of one day – but if you have a habit of giving someone a drop-in class to be used later, then don't set the expiration date!
