The Information We Can Import for You
We can import the following types of data:
Customer Information
Names
Email addresses
Phone numbers
Addresses (optional)
Current Passes
Types of passes they might have (e.g., a punchcard pass vs an unlimited pass)
The remaining number of credits
Expiration dates
This information can be entered together, or separately - it depends on your current situation. But this is the information we're able to import for you.
How to Export Your Data From Your Existing Software
Most software platforms allow you to export data in CSV or Excel format. Check your current system for these options:
Customer Lists: Usually found in the "Customers" or "Clients" section.
Passes & Memberships: Look for an option to export passes or memberships.
Reservations & Attendance: Check for booking or attendance reports.

How to Organize Your Files
To help us import your data accurately, you'll want to organize your export files clearly.
You can create separate spreadsheets, CSV or Excel files for each type of data:
Customer List
Active passes
You're also welcome to combine information into one spreadsheet, here's a Google Sheets spreadsheet template you can copy and work with
Creating a Spreadsheet of Your Customer List
Each spreadsheet file should have clear headers for each column.
At a minimum, we require the following customer information:
First name
Last name
Email address
We're also able to import columns containing the following information:
Phone number
Street Address
City
State/ Province
Country
Birthday (in MM/DD/YYYY or DD/MM/YYYY format)
Emergency contact name
Health status
Referral source
Please make sure any dates included are formatted as MM/DD/YYYY or DD/MM/YYYY.

Creating a Spreadsheet with Your Active Customer Pass Information
Each spreadsheet file should have clear headers for each column.
To upload pass information into Punchpass, we're looking for columns that contain the following information. Any items that aren't required are optional, so if you don't have that information, that's okay!
First name (required)
Last name (required)
Email address (required)
Pass name (required)
Pass start date (required)
Pass expiration date
Price
Number of visits remaining (required if the pass is not an unlimited pass)

How to Send Us Your Data For Upload
Once your files are ready:
Review the Files: Double-check that the data is accurate and complete.
Send Your Files to Us: Email your files to [email protected] with the subject line "Data Import Request" or log into Punchpass and attach the files through the chat.
Let Us Know About Any Special Requirements: If there’s anything unique about your data or how you’d like it imported, let us know!
What Happens Next?
We’ll Review Your Data: Our team will check your files and confirm everything looks good.
We Import the Data: We’ll handle the import process and let you know once it’s done. We aim to complete all data import requests within 2 business days.
You Review the Import: Once completed, we’ll let you know and ask you to review your data in Punchpass to make sure everything looks right.
