Managing Series Reservations

Whether you need to manually assign series reservations, transfer them between customers, move reservations to different times, or delete them entirely, Punchpass offers a variety of tools to simplify the process.

This guide walks you through the steps to handle different series reservation scenarios, ensuring you can efficiently manage tickets, refunds, and transfers within a series.


Manually Assigning a Series Reservation

If a customer is paying in person, or you wish to book them in and invoice them for the ticket price, you’ll first want to sign them up for the series.

  1. From the class page, click the Add A New Reservation button and make sure you are making a full series reservation. then search for and select the customer:

    If they do not have an eligible pass or existing ticket on file for the series, the customer will show up flagged as Needs Pass.

  2. To assign the ticket and start the payment process, click the three-dot icon next to the customer name and press the Assign Ticket option.

  3. To assign the customer a ticket for the entire series, press the Assign Ticket for Series button.

  4. The ticket will initially be assigned as unpaid. From here, you can:

    1. Mark them as paid by other sources (non-Stripe)

    2. Apply a Discount code if your wish to apply one to their ticket

    3. Copy the Paylink, which you can send to the customer to invoice them for the ticket (Stripe). Learn more about Paylinks here!

  5. Once the ticket is assigned to them, you can access it from the Customer’s Info tab on their account:


    Or by navigating to the Series overview page and pressing the "Manage Ticket" option within the class:


    From the Manage Ticket page, you can mark the ticket as payment not received (non-Stripe payments only) or if you would like to delete the ticket. You can also Refund Stripe payments from this page for the ticket if the customer paid via Stripe.


Transfer a Series Ticket and Reservation

If your customer would like to give their spot to another person, click the three-dot icon next to their name, then click Transfer:

Search for the recipient, select their name and then click Transfer Ticketed Reservation. Both the Series Reservation AND the Series Ticket is transferred in this process.


Moving a Series Reservation (Same Course, Different Time)

If your customer would like to switch to a different series, head to the customer's account Info tab and scroll down to their reservation. From the Actions dropdown, select the option Transfer Series Reservations to Another Series:

You will be given the option to select another Series based on the same Class Type. Select the Series you wish to move them to, then click Move Reservations:


Moving a Ticketed Series Reservation (Different Course, Already Paid)

If a customer decides to change their series reservation or has booked the wrong series, you have a couple of options for managing the ticket.

Option 1: Create the desired series reservation for the customer and assign them a ticket for the preferred series.

Here's how this option works:

  1. Create a new series reservation for the customer.

  2. Assign the customer a new series ticket and from the customer account, mark the new ticket as paid.

  3. Delete the original series reservation (easily done through the customer account).

  4. Delete the original ticket in the customer account. If the ticket was paid by Stripe, you have the option to delete the ticket without issuing a refund.

Follow the steps above for details on how to manually create a series reservation.


​Option 2: Delete the reservations and associated tickets with a refund

With this option, you'll then ask the customer to purchase the desired series and ticket again.


You'll then delete the original series reservations and original tickets.


Deleting a Series Reservation

There are a couple of ways to delete a series reservation, from the series overview page or from the customer account.

Deleting a Series Reservation from the Overview page

From the Series overview page, you'll see a list of customers who have reservations for the series.

For ticketed series, you'll press the Manage Ticket button to delete and/or refund the ticket, and then you can delete the reservation.

For series paid with passes, you'll see a link to Delete the Reservation and then need to handle the pass separately.

Deleting a Series Reservation from the Customer Account

From the customer account, you can manage both series tickets and reservations in the Series Reservation section, click the Actions menu.

For ticketed series reservations paid by Stripe, you'll see the following options:

  • Delete Series Reservations AND refund payment.

  • Delete Series Reservations (no refund).

  • Transfer Ticketed Series Reservations to Another Series.

  • Manage Ticket. This takes you to the ticket page where you can send the customer an email, print a receipt, as well as transfer the ticket and series reservation to another customer.

  • Resend Series Reservation Confirmation Email.


For ticketed series reservations paid by another method, you'll see the following options:

  • Remove From Series. This deletes all the customer reservations from the series.

  • Transfer Ticketed Series Reservations to Another Series.

  • Manage Ticket. This takes you to the ticket page where you can send the customer an email, print a receipt, as well as transfer the ticket and series reservation to another customer.

  • Resend Series Reservation Confirmation Email.
