Managing your class schedule in Punchpass is simple, with flexible options to make updates as needed. This guide walks you through making updates to your classes, whether you need to adjust recurring sessions, change instructors, or communicate with your students.
Editing Your Schedule
To make updates to your class schedule, navigate to Manage > Classes. You can edit individual class times, adjust recurring sessions, or make bulk updates.
Individual vs. Recurring Changes
Edit an Individual Class – Make a one-time change to a specific class (time, instructor, or location). Edit an Individual Class
Edit Recurring Class Times – For ongoing changes to a specific class time, update the recurring schedule instead of modifying individual class times one by one. Editing a Recurring Class
Here's what you can change for each recurring class time:Class time and duration
Assigned instructor
Location (or the custom filter option you have selected for the class)
Change the class size limit: Perfect when you have a single class with different needs!
Change the end date (or delete the class time entirely)
Designate the class as Online or In-Person: Change a recurring class from in-person to online and vice versa
Free/ Paid status
Changing Instructors
Instructor changes may be temporary or permanent, and Punchpass provides flexible options to manage both.
Adding a Substitute Instructor
If an instructor needs to miss one or more classes, you can assign a substitute without affecting the recurring schedule. This keeps your regular instructor assigned to future classes while covering specific sessions. Adding a Substitute Instructor
More Permanent Changes
When permanently changing an instructor, update the recurring schedule settings instead of modifying individual classes. This ensures all future sessions will reflect the new instructor assignment. Update the Instructor for a Recurring Class
Bulk Schedule Management
Save time with Punchpass's Bulk Actions feature, by updating multiple classes simultaneously.
Navigate to Schedule in the admin panel
Click on the Bulk Actions option
Select the classes you want to modify
Choose your action from the Actions dropdown menu
Available bulk actions include:
Adding a substitute teacher
Canceling classes
Deleting classes
Changing the custom filter option (such as location or class level)
Making classes free
Communication Tools
Public Schedule Notices
Keep your students informed about changes or important information by adding notices to your public schedule. These announcements appear prominently for your customers. Add a Public Notice to the Schedule
Internal Team Notes
Add private notes visible only to your team members at the bottom of each class page. These notes appear on your internal schedule view but remain hidden from customers.
To add a team note, visit a class page and scroll down to the Notes section.
Removing Classes
If a class is no longer needed, you have options to remove or archive it:
Delete a Class – Permanently remove a class from your schedule
Archive a Class – Keep a class on file for future use without displaying it publicly
