How to Manage Instructor Profiles

Instructor profiles can be included on public Punchpass pages as a way to introduce your staff.

Instructor profiles allow you to share information about the people teaching your classes with your customers.

An instructor can be a teacher, a substitute, or another type of administrator.

Since instructor profiles don't have to be linked to actual user accounts, you can have as many as you want — including multiple profiles for the same person, if you want to focus on different elements of their biography, create a shared teaching account, or feature their skillset in different places.


Choose the navigation link for the Instructor Profiles page

Under Manage Settings > Public Schedule you can pick a name for the Instructors section and change the name if you want it to display differently!

By default, we will name this link "Instructors" and the link to your Instructor page will be https://yourstudio.punchpass.com/instructors.

Create a New Instructor Profile

Please note: If you'd like any of your Instructors to perform Administrative tasks (taking attendance, managing the schedule, making reservations, etc.), please visit our guide on creating log-ins for staff and other users of your Punchpass account.

To create an instructor profile, navigate to Manage Settings > Instructors and Users and scroll down to the Active Instructors section.

Enter the Instructor's name and press the + Add Instructor Button to create a new Instructor profile.

To make any changes to an existing Instructor profile, click on the name of the instructor to open the Instructor Details page. You can then edit any of their profile details, but make sure to press Save!



Include their Name and Email Address

The names and avatar you enter for an Instructor Profile will come up on your public Punchpass pages as-is so you don't need to list full names — you could name an Instructor "Indiana Jones," "Indy," or "Jones" — whatever your teachers (and students) are going to be comfortable with!

Adding an email address is optional. If you add an email address in this section then the instructor will get an email every time someone makes a reservation or cancellation for one of their classes (if your instructors prefer not to receive an email then leave the email section blank).

Add an Image to the Instructor Profile

Would you like an image of the instructor to appear on your public schedule? When you include an image for any instructor listed in the Active Instructors section, their avatar will appear on the public pages.

Please note: Any images added as avatars in the top section, the user accounts, aren't public at this time.

If you prefer not to use an avatar, Punchpass will show the instructor's initials instead!

Add an Instructor Bio

To create an instructor bio, navigate to Manage Settings > Instructors and Users and scroll down to the Active Instructors section.

Click on a name to open the Instructor details page where you can enter a short bio and a long bio.

Add a Short Bio

Introduce yourself and your credentials with a Short bio. Any content included here appears on the Instructors page, a public list of staff at your studio. This section is optional and there is a text limit of 200 characters.

Create a Long Bio

Adding a long bio to an instructor profile creates a dedicated Instructor profile page. This is a great space to allow your Instructors to share additional information and share promotional links.

Decide to Show or Hide the Instructor from the Public Punchpass Pages

Have a visiting instructor? You can decide at any time to show or hide an instructor's profile on your public pages. This is helpful so you can make studio changes without erasing their information.

On the Instructor Details page, you'll also see a list of classes that the instructor is currently teaching.


How an Instructor Profile Appears on your Public Punchpass Pages

The short bio shows on the Instructors page:

https://yourstudio.punchpass.com/instructors

If you added a long bio, you'll see a Learn More link and you can get to their longer bio page!

Short bios appear as brief descriptions on the Instructors page. If a longer bio is created, a dedicated instructor page is created and a link to that page is added to the Instructors page.


Below you'll find a screenshot example of a dedicated profile page created by including a long bio. There are no character limits to the length of text for long bios and external links can be included!

Reordering the list of Active Instructors will change the listing of them on your public Instructors page.


Updating an Existing Instructor Profile

To make any changes to an existing Instructor profile, click on the name of the instructor to open the Instructor Details page. You can then edit any of their profile details, but make sure to press Save!


Have a visiting instructor? You can decide at any time to show or hide an instructor's profile on your public pages by editing the setting to "Show the instructor on the Instructors section of your public Punchpass pages." This is helpful so you can make studio changes without erasing their information.

Troubleshooting

Can I rename the Navigation link so it says something other than "Instructors"?

To change the navigation label, navigate to the Public Schedule section of your Account Settings and you can change the label to something that fits your needs!

Why can't I see an "Instructors" link in my navigation?

At least one instructor has to have a bio for the link to appear in your studio navigation.

​How do I turn off the "Instructors" link in my navigation?

For each instructor, turn off the option to show the Instructor publicly. Punchpass won't display the Instructors link when there aren't any instructors to show!
