Activate Reservation Reminder Emails

Reduce no shows and by setting up reservation reminder emails

You can send an optional reminder emails to your customers about their upcoming reservations.

Key Features

  • Automatic pass reminders: Students who need to purchase a pass receive a notice to purchase a pass before class begins.

  • Online class support: For virtual classes, this serves as an additional reminder beyond the 30-minute pre-class email with the class link.

  • Email tracking: Monitor when reminder emails were sent from class pages and email reports.

Setting Up Reservation Reminder Emails

Step 1: Activate Reservation Reminders For Each Class

First, decide that you want to send a class reminder email.

You'll activate the reminder emails in the reservation settings for each specific class you want to use this feature with. This selective approach allows you to:

  • Send reminders only for classes with historically higher no-show rates

  • Avoid sending too many emails for frequent attendees of multiple classes

  • Customize your communication strategy for different class typesYou'll find the option to send a class reservation reminder email in the individual class reservation settings

Step 2: Configure the Reminder Timing

  1. Navigate to Manage > Settings > Online Reservations

  2. Scroll to the bottom of the page

  3. Select how many days in advance to send the reservation reminder

  4. Click Save

  5. Important notes:

    • The default setting is 1 day in advance

    • Reminders are sent at 4 PM in your account's time zone

    • Consider your cancellation policy when setting reminder timing to allow customers to cancel without penalty


Email Appearance and Examples

The reservation reminder email has different versions depending on the class type and student status:

  • Standard in-person class reminder

  • In-person class reminder for students who need to purchase a pass

  • Online class reminders

Tracking Sent Reservation Reminder Emails

You can monitor the status of sent reminder emails in three locations:

1. Emails Report

Navigate to Reports > Emails Sent. Look for emails with the category 'Reservation Reminder.'

2. Class Pages

You can also review the sending status of the notification emails on each class page.

3. Customer Accounts

Open a customer's account and click on the Emails tab to see all communications sent to them.

That's it! Set it and forget it. Your customers will get a class reminder and you have another tool to reduce no shows attendances.

Customization Options

While the reservation reminder email template cannot be customized at this time, you can personalize the Reservation Confirmation email that's sent when a student books a class.
