How to manually change the particulars of an active pass in a customer's account

Editing an active customer pass in Punchpass is a straightforward process that allows you to adjust credits, expiration dates, or pass assignments.

Whether you’re updating a credit-based pass or making changes to an unlimited pass, this guide will walk you through each step to ensure that your customers have the correct access to your services.

Step 1: Access the Customer Account

  1. Navigate to the Customers tab from the main menu.

  2. Find the customer whose pass you need to edit. You can search by name or email address.

  3. Click on the customer's name to open their profile.


Step 2: Locate the Active Pass

  1. In the customer's profile, scroll down to the Passes section.

  2. Identify the active pass that requires credit adjustment. An active pass will display the remaining credits or expiration date.

  3. Click on the three-dot icon and select Edit Pass.



Step 3: Edit the Pass and Save

The adjustments available will vary based on whether your studio has family accounts active, and whether the pass is credit-based or unlimited.

Change the Pass Assignment from Family to Individual (and Vice Versa)

You can change a pass assignment from an entire family (the customer and any children on the account) to use by a specific person.

  1. Once you're viewing the details of the active pass, find the dropdown labeled Select who can use this pass.

  2. Update the pass assignment using the dropdown and press Save.

Change the Pass Dates

You can quickly edit the pass purchase dates and active dates to suit your needs by either typing the new dates into the date fields or by clicking the calendar icon to enter the desired dates.

Update a Pass with No Expiration to Have an Expiration Date

Passes without expiration can be turned into passes with expiration dates with a quick update.

  1. Once you're viewing the details of the active pass, find the option labeled Change pass to HAVE an expiration date.

  2. Select the option and click Save to update the pass.

Change the Pass Expiration Date

Passes with an expiration date can be adjusted to have a new expiration date, extending or shortening the pass, and also be edited to become unlimited passes (passes without an expiration date).

  1. Once you're viewing the details of the active pass, find the option labeled Date the Pass Expires.

  2. To update the expiration date, enter a new date or click the calendar icon to make the change.

  3. To change the pass to have no expiration date, select the Change to no expiration checkbox.

  4. Click Save to update the pass.

Edit the Number of Credits on an Active Customer Pass

Editing the number of credits on an active customer pass in Punchpass is a straightforward process that allows you to manage customer passes efficiently. Whether you're correcting an error or accommodating a special request, follow these steps to update the credits:

  1. Once you're viewing the details of the active pass, find the field labeled Number of Credits or Credits Remaining.

  2. Enter the desired number of credits. You can increase or decrease the credits based on your needs.

  3. After making your changes, click Save to update the pass.

Suspend a Pass

Temporarily block customer access to a pass by suspending it.

  1. Once you're viewing the details of the active pass, select the checkbox to Suspend the Pass.

  2. To reactivate the pass, you'll uncheck the Suspend the Pass option.


Step 4: Confirm the Changes

  1. Review the updated credits in the pass details to ensure the changes have been applied correctly.

  2. If necessary, communicate the changes to the customer, especially if the update was made due to a special request or adjustment.

Important Notes

  • Editing Credits Impact: Adjusting the number of credits on a pass will affect the customer's ability to book future classes or services, so make sure the changes align with your business policies.

  • Tracking Changes: Punchpass automatically logs changes to passes, including credit adjustments, which you can review in the customer's activity history.

By following these steps, you can easily edit the number of credits on an active customer pass, ensuring your customers have the correct access to your services.
