How to manage cash/check/other memberships

You can use Punchpass to manually assign and track memberships that are paid with a method other than our Stripe integration.

When setting up memberships that are paid outside of Stripe, you'll assign the membership to the customer. You then have the option to manually track payments as received or have Punchpass automatically mark memberships as paid.

Note: A membership created with a non-Stripe payment method will automatically renew as long as the membership is active, but it will only automatically be marked as paid if you choose that option.


If you decide you're interested in using Stripe to manage and track payments, the membership feature is available only on certain Punchpass plans.

Let's get started!

Setting up your membership renewals

You can choose if you want non-Stripe memberships to be marked automatically as paid or unpaid when they renew.

By default, Punchpass marks memberships paid outside of Stripe as 'unpaid' when they renew, so you can manually reconcile the payment.

To update your Membership Settings, navigate to Manage > Settings, select the General Settings section, and scroll down to the Membership Settings.

If you wish to use Punchpass to accurately track received payments for memberships, we recommend keeping this setting unchecked so that your memberships will issue as unpaid when they renew.


Managing membership passes marked as 'Unpaid'

You will want to use the Memberships Report (link) to track your unpaid membership passes and keep up with your member's payment status.

The Memberships Report includes tabs for all Active, Future, Canceled, Finished, and Paused Memberships. The report will highlight any memberships with unpaid passes.

From this report, you can click on the customer's membership to access the Membership Details page.

The Membership Details page allows you to manage the membership cancel a membership and if you scroll down, you'll see a list of all of the passes.

When collecting payment, you have the option to convert the membership to a credit card charge or mark the membership pass as paid through your non-Stripe option.

How to mark an unpaid membership pass as paid

To mark the membership pass as paid, from the Membership Details page, select the pass.

This opens the Pass Details page where you can select the payment method and mark the pass as paid.

When tracking payment methods outside of Stripe, as the payments come through, you'll repeat this process for each membership pass and mark them as paid.


Punchpass will also alert you to an unpaid membership during attendance too.

Automatically mark non-Stripe memberships as paid

If you're receiving payment regularly from your members and don't wish to manually track this in Punchpass, you may prefer to have Punchpass automatically mark memberships as paid.

When memberships are set to automatically be marked paid, please be sure to confirm your payments through your outside payment option to ensure your payments are received as the Punchpass Memberships Report will not reflect non-payment!

You can turn this setting on by navigating to Manage Settings > General Settings, and scroll down to the Membership Settings section.
