How to Allow Standing Reservation Customers to Book Additional Classes

You may run into a situation where clients are blocked from booking additional classes, even if they still have valid punch card credits when the following settings are in place:

  • Standing reservations and no end date for their bookings,

  • Classes are set to require an active pass to book,

  • and in your Online Reservation settings, you limit the number of visits to class credits purchased.

Here’s how to resolve this issue!

Why This Happens

When a customer has standing reservations booked far in advance and your online reservation settings limit the number of reservations to visit purchased, the system may consider those future bookings as "using up" their available punch card credits.

Therefore, even if they have credits left on their pass, they won’t be able to book additional classes outside their standing reservations unless they purchase another pass.

Solution 1: Adjust the Online Reservation Settings

From Manage > Settings > Online Reservations, you can adjust your online reservation settings to limit the number of reservations based on the number of visits purchased.

If you turn the "Limit the # of reservations to visits purchased" setting off, this allows customers with and without standing reservations to book classes as long as they have an active pass. They'll be flagged as "Needing a Pass" if they book beyond the number of credits on an available pass and you'll need to work with them to purchase the additional credits.

If you turn this limitation on, clients will be restricted when in their ability to book additional classes through the system if they have reservations booked far in advance. In this case:

  • Admins can manually make the reservations for the client, as admins can bypass booking restrictions.

  • Alternatively, you can still grant Trusted Access to these clients to give them the ability to book classes on their own.

Solution 2: Grant Trusted Access

To allow these customers to book other classes without needing an additional punch card, you can grant them Trusted Access. Trusted Access allows clients to override booking restrictions, meaning they can book classes regardless of whether their pass covers all reservations.

Here’s how to set it up:

  1. Go to the customer’s profile in your Punchpass account.

  2. Under Account Settings, enable Trusted Access for that client.

Solution 3: Make the Reservations for Them

Admins and Instructors can always make reservations for customers, overriding any settings.

By adjusting these settings or using Trusted Access, you can ensure your clients with standing reservations are able to book other classes without any issues.
