Sometimes you'll find yourself in a scenario where a customer would like to transfer their pass to another person.

If the pass is unused, the quick transfer tool will allow you to easily put the pass in another customer account.

For passes that have been partially used, here's what to do:

How to transfer a partially used pass


Step 1: Assign a fresh pass

From the recipient customer account, assign the corresponding pass.

When assigning the pass:

  • Mark the pass as paid and recommend selecting the payment method as paid by "Other,"

  • Write a note for your records,

  • And select the Assign Pass then Edit It button.


​This takes you to the Pass Details page, where you can:

  • Edit the pass dates,

  • Edit the number of credits (for punchcard passes),

  • And adjust the pass price for your revenue reports.


​Editing the pass dates

Depending on the pass settings, you'll be able to adjust the date the pass was purchased, the active date, and the date the pass expires.

If a pass is set up to have its expiration date determined on first use, then this is the one setting that won't be available.


Editing the number of credits

For passes that were valid for a certain number of credits, under the Number of Card Visits, you'll update the number of classes to be the number of visits remaining.

For example, the original purchaser of this 5 Class Pass attended one class, so we'll change the number of card visits to 4.

Adjusting the pass price

When transferring a pass you'll want to consider making the price of this gifted pass zero, or if you use the attributed revenue, setting the price to be the difference between what was already used and the price paid for the original pass.

For example, if the purchaser paid $100 for a two-month unlimited pass and transferred the pass after 1 month of use, you might consider making the pass price $50.

And if the original pass was a 5-class pass for $100 with 4 credits remaining, you might set the price to $80.

Step 2: Edit and expire the original pass

Over on the original pass, you'll then adjust the credits remaining to the number used and/or adjust the expiration date to expire the partially used pass.

Click on the original pass to make the changes, and press Edit Pass from the Actions menu, and press Save.

For unlimited passes, we recommend editing the expiration date to today to expire and finish the pass.


​For punchcard or credit-based passes, we recommend editing the number of credits to those used by the customer, to expire and finish the pass.

For example, Ted Person attended 2 classes with this punchcard, so we'll edit the number of visits to two.
